Please check Terms & Conditions which are shown to you when you make your online booking.  For new 2023 bookings our standard booking terms and conditions below apply.

 
Please see below for the relevant terms and conditions for the accommodation you have booked, as there is different information for 
glamping, camping or holiday cottages.
 
These booking and cancellation terms and conditions are for direct bookings only. If you have booked through a third party site such as Cool Camping, Campsites UK, Pitch Up or AirBnB, please refer to the terms and conditions of booking & cancellation as agreed by Graig Wen with the relevant company. Any refunds will be less fees we have paid to booking agents and payment processing charges. We recommend booking direct with Graig Wen and taking out travel insurance. Many policies are now available to cover Covid / self isolation as it is a known condition. IF YOU CHOOSE NOT TO TAKE OUT TRAVEL INSURANCE, THEN YOU ACCEPT RESPONSIBILITY FOR ANY LOSS THAT YOU MAY INCUR DUE TO YOUR CANCELLATION.
 
Contract
Graig Wen  reserves the right to amend their website and terms and conditions at any time, without prior notice, the Hirer’s obligations not being limited to the below.

Cancellation or Changes by US – Once we have issued you with a confirmation we will do our very best not to make any changes to your booking or to cancel it. Sometimes though changes do occur before and after bookings have been confirmed, and very occasionally confirmed bookings have to be cancelled, for instance on safety grounds in extremely high winds. We promise to do all we can to avoid changes and cancellations but must reserve the right to do so.

If your holiday is cancelled by us (for reasons other than a failure by you to pay the final balance) you can either have a refund of all monies paid or, where available, accept an offer of alternative accommodation/dates. If the alternative holiday is of a lower value, we will refund any price difference. If the alternative holiday is of a higher value, you will be required to pay the additional amount.

Force Majeure – Where we make any cancellation or change to your booking resulting from Unavoidable and Extraordinary Circumstances, our liabilities are limited to offering alternative dates for accommodation (where available under the terms stated above) .   We cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change. “Force majeure” means any circumstances beyond the reasonable control of Graig Wen. Examples include but are not limited to actual or expected war, riots, civil strife, terrorist activity, Government action or restraint, industrial disputes, natural or nuclear disasters, fire, adverse weather conditions including hurricanes, changing water levels , epidemics, unavoidable technical problems with transport, fuel shortage, damage and accidents from machinery or engines, or closed or congested airports.  In such circumstances, we will arrange for your booking to be terminated and offer alternative dates.  We will observe Government advice provided.
 

GLAMPING BOOKING T & C

When booking Glamping accommodation (yurt, shepherd’s hut or wagons) with Graig Wen you are entering into a binding contract with us.

References to ‘us’ and ‘we’ in these Conditions relate to Graig Wen and references to ‘you’ or ‘your’ relate to the person making the booking and all members of the holiday party. When we email confirmation of a reservation to you, we enter into a contract with you, which is subject to these Booking Conditions.

Your Booking – We will confirm your reservation and email you more details when we receive your deposit (30%) or full payment if you book less than 30 days before your stay. Please check your booking confirmation and tell us of any errors immediately. You must be over 18 to make a booking.

Payment – You have 24 hours in which to pay your 30% deposit/full payment from the date you make your reservation. This will be debited from your card if you book on line. If money is not received in this time, we reserve the right to offer the holiday to other enquirers.

The balance is due 30 days weeks before your arrival date. We will email you a reminder of this and a secure payment link to pay the balance. Non payment of your balance, when this becomes due, will constitute cancellation of the holiday and forfeiture of the deposit payment. If we do not receive your balance by due date we will attempt to re-let the accommodation.

The charge includes VAT and a sack of logs for the wood-burning stoves inside yurts and shepherd’s hut. Further logs are available to buy on site or locally.

The accommodation is let for holiday use only, for the time specified.

Cancellation or Changes by YOU – It is essential that you let us know immediately if you need to cancel your booking. Please telephone us and confirm in writing. If you cancel:

– more than 30 days before your arrival date you will lose your deposit payment. We will refund any other payments made by you less any commission charges to third party booking agents/card payment fees.

– less than 30 days before your arrival date you will lose your deposit payment. We will attempt to re-let your holiday. If we are able to re-let for the whole period originally booked at the same price you we will refund up to 70% of the balance, less a £20 administration fee and commission charges to third party booking agents/card payment fees.  This will be at your request on the day you were due to check out. If we are unable to re-sell your holiday you will not be refunded any money paid and we will not transfer your booking.We strongly recommend that guests take out their own travel insurance to cover this eventuality.

Unless you have booked through a specialist policy such as our 2021 Coronavirus Guarantee, we have no obligation to offer refunds or transfer your booking if you need to cancel for any reason such as (but not limited to)  self-isolation, illness (including Covid), Covid related travel restrictions, jury service, travel delays, vehicle breakdowns, change in personal circumstances. We strongly recommend that guests take out their own travel insurance to cover this eventuality. Many policies are now available to cover Covid / self isolation as it is a known condition. IF YOU CHOOSE NOT TO TAKE OUT TRAVEL INSURANCE, THEN YOU ACCEPT RESPONSIBILITY FOR ANY LOSS THAT YOU MAY INCUR DUE TO YOUR CANCELLATION.

Your safety – Graig Wen’s landscape includes some steep slopes and trees and parents/guardians are responsible for ensuring their children explore safely.

Smoking & Candles– No smoking or vaping is allowed inside the accommodation. If we need to clean due to smoke damage we will make a charge for this. Battery powered tea lights are provided in glamping units. Please do not light candles or tea lights inside.

Glamping Arrival and Departure – Unless special arrangements have been agreed, the normal earliest arrival time is 4:00pm on the holiday start date and last check in is 8pm. You must vacate the accommodation by 10am on the departure date. Alternative times can occasionally be arranged on request. Please let us know if you expect to be delayed.

If you do not contact us and you have not arrived by noon on the day following the holiday start date we will treat your holiday as having been cancelled by you and you will not be entitled to any refund.

Pets – Well behaved pets that are supervised at all times are welcome. Dogs must be kept on a lead or long line. Please contact us if you would like to bring more than one pet. Pets must not be allowed on the furniture or beds so please bring appropriate bedding. At no time are pets to be left unattended. Fouling on site and any other mess made must be cleared up. Owners are liable for any damage caused.

No disposable BBQs please. You ar welcome to bring your own BBQ as long as it is lifted off the ground.

Damage

You agree to look after the accommodation. This means you must keep all furniture, fittings and effects, (inside or outside) in the same state of repair and condition as at the start of the holiday, and leave it clean and tidy. If you break these conditions we can make an additional cleaning charge and/or make a claim against you for repair or loss as a result of damage caused. You are expected to show due consideration for other people, including other guests, local residents and our staff. If you abuse the property or display dangerous or offensive behaviour towards the owners or other third party, we can refuse to allow you possession of the property or ask you to leave before the end of the holiday. If this happens we will treat your holiday as having been cancelled by you and you will not be entitled to any refund.

You must allow us access to the property at any reasonable time during your holiday. Covid Secure precautions will be taken.

If you have special requests or needs you are responsible for telling us at the time of booking. If you have a disability that may affect your holiday please tell us before you confirm your booking. We will do our best to accommodate you but will let you know if we are not able to meet your needs.

The owners shall not be liable for any loss or damage to visitor’s property, however caused.

Dissatisfaction – It makes us happy if you enjoy your holiday. If you have any problems, please let us know so we can do our best to sort them out while you are here.

Number of people using the accommodation should not exceed the number agreed when booking. Please check with us first if you would like to have any visitors as there may not be any parking space available for them.

Visitors

You need to check with us before inviting visitors as we have very limited car parking space.

Electric vehicles

Unfortunately electric vehicle charging at Graig Wen or our cottage in Dolgellau is not possible.  Guest use of our supply to charge EVs is prohibited as part of our booking terms.  Any damage or costs caused by doing so will be charged to you. There are electric vehicle charging points in Fairbourne and we supply a list of other points locally in our Welcome Guide.

Drones, chinese lanterns, fireworks – are not permitted.

 

CAMPING BOOKING T & C

You can book camping online – please ensure you carefully read the information about the different areas of our camp site to ensure they are suitable for you. If in doubt, please call us.

Payment

You can pay by credit or debit card – there is no charge for this. We do not accept cheques

For bookings made 30 days or less before your stay, we require payment in full in advance

For bookings made more than 30 days before your stay, we require 30% NON-REFUNDABLE deposit.

Your balance is due 30 days before your stay. We will email you a reminder of this and you will need to re-enter payment details to pay the balance. If we do not receive payment from you by this time we reserve the right to cancel your booking.

Cancellation by you

If you cancel more than 14 days before your stay you will lose your 30% deposit payment. We will refund up to 70% of any other payment already made for accommodation less any booking agent /card payment fees.

If you cancel 14 days or less before your stay you will not be entitled to any refund or transfer of dates. If you do have a problem please email or call us as soon as possible so we can re-let your pitch as another camper who may want it.

Deposit payments are non-refundable and non-transferable. We recommend taking out travel insurance – many policies now include COVID as it is a known risk.  No refunds can be given if you chose to depart prior to the end of your booked holiday for whatever reason. No refunds will be given if you have booked the wrong type of pitch for your unit – if in doubt please contact us before booking and we will be happy to advise.

We reserve the right to refuse any bookings. Group bookings are at our discretion.

Change or cancellation of the holiday by us

In the unlikely event we are unable to provide the booked holiday and have to cancel before the holiday is due to start, you are entitled to a full refund of the money you have paid except in the case of Force Majeure – see note above.

Pitch Sizes

You should check at the time of booking the size of unit you will bring to ensure your allocated pitch is large enough. There is detailed information on the web site and booking process about pitch suitability. If in doubt please contact us before booking and we will be happy to advise. No refunds will be given if you booked online the wrong type of pitch. If you book a touring van pitch and decide to bring a tent instead, or vice versa, you will need to contact us to change your booking, subject to availability, as touring van pitches and tent pitches are not interchangeable.  Gazebo and event shelters are by prior arrangement only as not all pitches are suitable. There is space for one car per pitch to park (strictly no van access to lower tent camping fields as track is too steep). Should you subsequently change your requirements we will do our best to accommodate you but cannot guarantee to provide an appropriately sized pitch or parking space for additional cars. Strictly one tent per pitch only on lower fields.  On the estuary fields we do not accept additional gazebos, event shelters etc – there is more room for these on the family camping and secluded pitches.

Camping Arrivals and Departures

Your pitch is available from 12 noon

Last arrival time on the touring area at the top of the site is 9pm.

Last arrival on the lower tent camping fields is 7pm -strictly no new arrivals after this time unless by prior arrangement or after dark as the track to the lower fields is steep and unlit.

If you do not arrive by last check in time on the first day of your booking and you have not advised us otherwise then we reserve the right to re-let your pitch. Please do not arrive before 12 noon as your pitch may not be available and parking space is very limited.

Check out by 11am on departure day

We make every effort to allocate guests the pitch of their choice however we cannot guarantee this. We will direct you to your pitch on arrival.  Please ask if you are in any doubt if you are on the correct pitch as campers on the wrong pitch will be required to move.

The ground rules…

By booking with us, you and your party agree to:

Respect your fellow guests, neighbours and people/ animals who live/work at Graig Wen

Supervise children appropriately so they are not a nuisance or danger to themselves and other people or animals. The top touring site is fenced but beyond this Graig Wen’s landscape and lower camping fields includes some steep slopes, trees and shallow water and PARENTS/GUARDIANS MUST BE RESPONSIBLE FOR ENSURING THEIR CHILDREN EXPLORE SAFELY.<

Not create any undue noise or disturbance. Quiet hours are from 11pm to 8.00am. Please respect your neighbours and keep noise to a minimum between these hours.

Group bookings we do not accept group bookings online and we welcome small, quiet groups only by prior arrangement – please call to discuss.

Dogs and other pets

You are welcome to bring your dog with you but there will be no exceptions to the following rules:

The dog must be on a lead at all times on the site

Clean up after your dog

Do not leave your dog unattended at any time

Camp fires/BBQs

There is a communal camp fire for the touring site but individual camp fires are only allowed on our lower tent camping fields.  Fire woks are only permitted on the touring site at our discretion to ensure the safety of other campers. No disposable BBQs. BBQs must be raised from the ground and clear of trees.

Drones, chinese lanterns, fireworks – are not permitted.

Visitors

We have very limited parking space so you must check with reception before inviting any day visitors.

We reserve the right to ask guests who do not respect the terms and conditions of staying here or who in any way behave in a manner likely to cause upset to our other guests, neighbours and staff, to leave Graig Wen immediately.  In these circumstances the holiday ceases and we shall not be liable for any extra costs incurred by you.

Electric vehicles

Unfortunately electric vehicle charging at Graig Wen is not possible.  Guest use of our supply to charge EVs is prohibited as part of our booking terms.  Any damage or costs caused by doing so will be charged to you. When booking with Graig Wen you are entering into a binding contract with us. 3. The charge includes VAT, the cost of electricity (NOT FOR EV charging) and a basket of logs for the woodburning stove in Ty’r Adar. Further logs are available to buy on site and locally. Bed-linen provided in all cottages. Towels provided in all cottages.

4. The cottage is let for holiday use only, for the time specified.

5. Cancellation

Unless you have booked through a specialist policy such as Bedful’s Coronavirus Guarantee offered in 2020/21, our standard terms will apply:

– transfers of bookings to other accommodation at Graig Wen. Once your booking is confirmed, we cannot transfer your booking to other accommodation at Graig Wen e.g. a different cottage to the one booked or glamping/camping as the various accommodation is not all owned by the same business.

7. Smoking – No smoking is allowed in the cottage. A smoking area is available outside.

Arrival and Departure for cottages – Unless special arrangements have been agreed, the normal earliest arrival time is 4:00pm on the holiday start date and you must vacate the property by 10am on the departure date. Alternative times can occasionally be arranged on request. Please let us know if you expect to check-in late or are delayed. You will be emailed arrival instructions a week before your stay.

If you do not contact us and you have not arrived at the property by noon on the day following the holiday start date we will treat your holiday as having been cancelled by you and you will not be entitled to any refund.
